Elementary Report Card Supplement Instructions

In October 2000, the Elementary Report Card Supplement was attached to an e-mail message to elementary teachers. It’s filename was Elem RC Supp Form.xls. If you no longer have it, contact me for a new one. Use this form as a template. Then save it as a new filename for each student for whom you provide information. (See Part Three)

Part One: Saving the Attached File
1. Right click on the attachment below.
2. Click Save As…
3. Click the little down triangle at the end of the “Save in:” box to show the list of your drives and folders.
4. Click on the F: drive.
5. Double click on the ElFac folder.
6. Double click on the folder with your name on it.
7. Look along the top row of icons and click on the little folder icon with a star on it. This will create a new folder.
8. Name the new folder RC Supplements.
9. The name of your attachment should now show in the filename box. If it does, click Save.
10. At this point you can close the e-mail message. The file is now saved on your network folder. Technically that is f:\Elfac\username\Elem RC Supp Form.xls.

Part Two: Accessing and Using the Supplement Form
1. Open Excel.
2. Click on File, Open.
3. Click the little down triangle at the end of the “Look in:” box to show the list of your drives and folders.
4. Click on the F: drive.
5. Double click on the ElFac folder.
6. Double click on the folder with your name on it.
7. Double click on the file Elem RC Supp Form.xls.
8. The form should now be open and ready for you to enter information. Enter the appropriate information. Be careful not to put more information in the box than space provides.
9. DO NOT CHANGE FONTS!
10. Highlight the X in the QUARTER X column label and change it to the current quarter.
11. After completing the new form, save it for future reference and print it.

Part Three: Saving the Supplement Form
1. Click on File, Save As…
2. Name the new file StudentName1 RC Form and click Save. When you save it, .xls will automatically be added to the filename you provide. (Each quarter, you will replace the number in the filename with the current quarter.)
3. DO NOT JUST CLICK ON THE SAVE ICON. You must use Save As…
4. (If you are concerned about whether you are saving it to the correct location, click the little down triangle at the end of the “Save in:” box to show the list of your drives and folders. Then you can see if you are in the folder f:\Elfac\username.)
