MS/HS Minutes

September 10, 2007

PTF’s first meeting of the school year was opened with a prayer, followed by a round of introductions by all participants in attendance.  PTF’s new president Debbie Sponsler thanked and greeted everyone present.

Secretary’s Report

Kristi Herrera, PTF’s former secretary, presented the minutes from the June 6th meeting for approval.  Judy Dvoracek made a motion to approve the minutes.  Suzy Frankian seconded the motion.  A vote was taken and the minutes were approved as presented.  Clarification was called for regarding the money allocated to Mr. Aust for a new PA system.  Explanation was provided, in that, PTF voted by email over the summer and agreed to allocate $1200 to Mr. Aust for the PA system.  This amount is to be matched by the Executive Board, in order that Mr. Aust can purchase a higher quality system for our school.  Mr. Aust will subsequently present a separate receipt to PTF for the banner paints that he requested.  PTF will then reimburse him for this other expenditure.

Treasurer’s Report

Maria Barberio, PTF’s former treasurer, reviewed the PTF Budget for 2007-2008.  Outgoing president Judy Dvoracek gave a brief explanation of how to read the budget.  Other documents distributed were the Financial Report for June, 2007 and the PTF Budget Report for 7/01/06 through 6/30/07, both prepared by Maria Barberio.  Maria explained that the final budget had a few changes made over the summer, since additional receipts had been submitted to the Board.  PTF’s new treasurer June Sweeney presented the Financial Report for July and August, 2007.

A general statement was made that the PTF financial books are always open for inspection and that financial reports are always available upon request.

Lisa Cripps made a motion that all four budget documents be approved.  Corinna Ritter seconded the motion.  A vote was taken and the four financial reports were all approved.

Guest Speaker- High School Principal Mr. Luketic

Mr. Luketic brought PTF up-to-date regarding a variety of issues.  He requested email addresses of all present, so that he can improve communication.  He informed us of the new faculty members and coaches at the high school this year.  Mr. Luketic also talked about the implementation of “Senior Projects”, a new facet of the high school curriculum, pending additional development and details.  On a positive note, Mr. Luketic made mention that high school enrollment is up this year.

Old Business

  • Mrs. Henry-Thank you notes from Mrs. Henry’s students were passed around for viewing, in response to PTF’s donation for Mrs. Henry’s academic competitions.
  • Mr. Wilson-Mention was made that Mr. Wilson expressed his appreciation to those people who helped him prepare for the upcoming Magazine Sale.
  • Book Cover Fundraiser-Judy Dvoracek gave an update regarding book covers, noting that to date, the fundraiser has brought in approximately $1920.00 profit.
  • PTF Ads-The Football Program and MS/HS Yearbook ads were discussed.  Judy Dvoracek called for anyone interested in art to help with re-designing the yearbook ad, if necessary.

Continuing Business

·        The “Welcome Back Bagel Brunch” for teachers will be headed by Allison Weir, Judy Dvoracek and Connie Burke this year.  The event is slated for Wednesday, Sept. 19th.  Sign-ups sheets for volunteer help and/or the donation of food were passed around at the meeting.

·        Family Fair- It was discussed that PTF will be sponsoring two booths at our school fair on Saturday, Oct. 13th: The Cake Walk and the Blanket Booth.  Debbie called for volunteers to run the Cake Walk booth, as well as volunteers to donate baked goods which will be used as prizes.  PTF’s new vice presidents Maria Barbario and Kristi Herrera will head the Blanket Booth.  They displayed the felt blankets and fur blankets that will be sold at our booth.

New Business

Debbie noted some of the important dates on this year’s school calendar.  Since the Magazine Sale begins on Sept. 27th, Debbie explained that volunteers will be needed on the first day of sales, as well as subsequent dates, to assist with counting classroom orders.  There was also a request for “Senior Prayer Moms” for this year’s senior class.

  • Middle School Skate Night is scheduled for Oct. 8th.  Allison Weir and Sally Robinson will chair this event.  Volunteers were requested to assist with ticket sales and to be chaperones the night of the event.
  • Thanksgiving Treats for Teachers: Discussion arose regarding whether or not to host this event this year.  It was noted that the event is “unbudgeted”; also, since there are several other food-related activities scheduled around this same time of year, Debbie asked if we wanted to eliminate the event this year.  Maria noted that in previous years, this event was funded through the “Teacher Appreciation” category in the budget.  If the PTF decides to continue this event, it was suggested that we look into having “Coffee Carts” serve our teachers this year.  Maria volunteered to further investigate this possibility and to find out the cost.  A tentative date for the “Thanksgiving Treats” was slated for Nov. 14th.
  • MS/HS Fall Giveaway-PTF discussed what we would like to give the students this year.  After some discussion and brainstorming, it was decided that donuts are probably our best option.  Maria and Kristi volunteered to check prices with Krispi Kreme in Burbank.  We will then compare their cost to the prices at Bud’s Donuts and make a final decision.  This event has a tentative date of Nov. 16th.

Debbie asked everyone to think ahead for ideas for “Cram Candy” which will be distributed to students in January, possibly on the 17th .  The subject of the VCS Business Directory also came up.  June explained that the directories will be distributed at Back to School nights.

Our meeting was closed in prayer.  Special prayers were requested for Allison’s sister-in-law.  Our next meeting is scheduled for Monday, Oct. 1st, at 1:15 p.m.
